AI Assist FAQs

The AI Assist feature is an add-on feature for EMS incident forms that allows providers to upload or take images, speak into a microphone, or type unformatted text and have an AI Assistance analyze that data and fill it into the fields on your incident form.

Setup and administrative questions

·         Will this feature cost money?

No. AI Assist is still in beta and available to a limited set of users, but when it is released to all users, it will be included in your existing Elite package.

·         How secure is this feature? Is the data I enter being sent somewhere to train other AI models?

ImageTrend is storing the files and voice recordings you add for AI analysis on our own servers for our records and analysis, but no data is sent to a third-party LLM for training purposes.

This means that while your data is being stored on ImageTrend's servers and may be used to identify areas that AI Assist can improve for use in Elite, it will always be subject to the same level of security as your existing Elite data and databases.

Functionality questions

·         How well does this handle medical terminology?

In our experience so far with our beta testers, AI Assist is handling medical terminology and abbreviations well. However, we are continuing to research and find areas for improvement on this throughout our beta testing process!

·         Is there an Incident Audit History event that tracks the user used this feature?

Yes! When someone uses AI Assist to apply values, a new record will be added to the Audit Tracking log with a type of "Applied Dictate Values." This will also show a list of the fields that were updated with AI Assist, although the list may be cut off if it is a long list.

·         Will AI Assist fill in fields that aren't visible on the form due to not being on the template or hidden via visibility rules?

No: AI Assist will only fill in fields that are visible to the user at the time they use AI Assist. If a specific field is not included on the incident form or is hidden by a visibility rule when the provider uploads the image or dictates information, AI Assist will not include suggestions for that field.

·         Will AI Assist select values even if they're inactive in the system?

No, if the value they dictated is inactive in the system, it won't show up in the Apply Changes modal.

·         Will AI Assist populate pertinent negatives or Not values?

This feature currently supports recording pertinent negatives for the Past Medical History, Current Medications and Medication Allergies fields, since these are the fields where pertinent negatives are recorded more frequently. It does not currently recognize Not values.

·         Will AI Assist populate site-specific resources like facilities, vehicles or crew members?

At this time AI Assist will be able to recognize and suggest information for the destination facility based on the facility records in your system, but it does not yet support filling in vehicle or crew member information.

·         Will AI Assist fill in supplemental questions or worksheets?

No, AI Assist cannot fill in site-specific questions.

·         How does this work with value triggers / fields that automatically fill in another field based on their content?

If AI Assist fills in a field that is associated with a value trigger, those additional fields will also fill in.

EXAMPLE: If your incident form is set up to assign the primary patient caregiver's name to any medications given and AI Assist fills in a medication, the system would also fill in the primary patient caregiver's name in the Crew Member field on that medication record.

This can be confusing since the AI Assist window would show you that the Medication Name field is being filled in, but would not show that the Crew Member field was being populated.

·         Can I scan barcodes with AI Assist?

AI Assist does not read barcodes, although it can scan the text available on files like face sheets. If barcode scanning is important, we recommend checking out the Barcode Parser feature. For more information, see Barcode Parser.

How to use AI Assist to fill in incident forms

AI Assist will only detect and fill in certain fields in the incident form, currently focused on patient demographics, history, medications and vitals. This list is being regularly updated, and whenever you use AI Assist on an incident there will be a Help button that will show a summary of what kind of data you can populate using AI Assist. See AI Assist Fields for a full list.

You can use AI Assist multiple times in the same incident.

If you use AI Assist to fill in grid records, we recommend reviewing the grid afterward to check for duplicate records. This feature will almost always create new grid records rather than updating existing ones.

  • If you use AI Assist to record a grid record that is already recorded (for example, if you load a repeat patient record that fills in the patient's medications, and then use AI Assist and record that medication again), the system will record the medication more than once.
  • The only time AI Assist will update an existing grid record is if it finds an exact match. For example, if a vitals record exists in your system with a time of 10:00 and you tell AI Assist "GCS of 15 at 10am," AI Assist would update the existing vitals record. However, if the vitals record was recorded at 10:01, it would create a new vitals record instead.
  1. From the toolbar at the top of an incident, click the AI Assist button.
  1. Click the button to select how you want to enter information for AI Assist to fill in to the incident form.
  • Record: Allows you to record a short audio clip of around 30 seconds. Your device must have a microphone for this to work.
  1. Depending on which browser you are using and the settings on your device, you may need to enable permissions for your microphone before you can successfully record audio.
  2. Click Record.
  3. If prompted by your browser, approve the permissions for your browser to access and record using your microphone.
  4. When finished recording, click the microphone icon. The text detected by your microphone will appear in the text box.
  5. Correct the text in the text box as needed. (For example, you may need to correct spelling of a patient's name.)
  6.  NOTE: If you are not happy with the suggestions, you can start over by clicking Record again, but this will overwrite all the values that it suggested here.

Attach: Allows you to upload or take a photo (if working on a device with a camera).

  1. AI Assist only works with image file types such as JPEG or PNG.
  2. Click Attach.
  3. To use a file that already exists as an attachment, use the dropdown to select the file.
  4. To add a new image,
  5. Click the Take Photo or Upload Photo.
  6.  NOTE: Uploading a new file or taking a photo through AI Assist will analyze the image , but it does not currently upload the file/photo as an attachment to the incident. If you want the file/photo to be saved with the incident as an attachment, you must add an attachment. See Adding Attachments and Addendums to Incidents and Visits.
  7. As appropriate, use your device to take the photo or upload the image file for AI Assist to analyze.

Prompt: Allows you to type a paragraph and the AI Assist will find data that should be filled in to form fields.

  1. Type in the Prompt... text box.
  1. Enter your data.
  2. Click Generate Values. The system analyzes your data and suggests a list of fields that it can fill in, along with the associated values.
  3. Deselect the checkbox for any field that should not be filled in.

Warning: The list of suggested fields will show you both the new value that AI Assist found for the field and any existing value that was already recorded in that field. If you leave the checkbox for that field selected and proceed to apply changes, the existing values will be overwritten by the new value found by AI Assist.

  1. Click Apply Changes. The selected fields are filled in and the AI Assist window closes.
  2. To save the changes to your incident, click Save.
